Your authorization comes first. Wavoiq only accesses your WhatsApp Business account, Telegram bot, and any other connected platform after you explicitly authorize it — through the official Meta / Telegram sign-in and permission flows. We never obtain access to these accounts without your direct, informed consent, and you can revoke that access at any time.
1. Information We Collect
We collect only the information needed to provide and improve the Service. This includes:
Account & Profile Information
- Name, email address, password (stored in hashed form), business name, and contact details you provide at registration.
- Business profile details you connect, such as your WhatsApp Business display name, phone number, profile picture, and business category.
Connected Platform Data
- Messages, contacts, chat history, media, and delivery/read status that flow through channels you connect (e.g. WhatsApp Business, Telegram), strictly for the purpose of operating your automations and conversations.
- Access tokens and identifiers (e.g. Phone Number ID, WhatsApp Business Account ID) issued to you by Meta or Telegram after your authorization. Tokens are stored securely and never exposed to you or to third parties.
Billing Information
- Subscription plan, credit balance, transaction history, and payment identifiers. Payments are processed by third-party payment providers; we do not store full card or wallet credentials on our servers.
Usage & Technical Data
- Log data, device and browser type, IP address, timestamps, feature usage, and diagnostic information used to operate, secure, and improve the Service.
2. How We Use Your Information
We process your information to:
- Provide, operate, and maintain the Service, including sending and receiving messages on your behalf across connected channels.
- Power AI features such as automated replies, lead qualification, and campaign engagement.
- Process subscriptions, credits, billing, and related transactions.
- Provide customer support and respond to your requests.
- Monitor quality, prevent abuse and fraud, and maintain security and compliance.
- Comply with legal obligations and enforce our Terms & Conditions.
Under the GDPR and similar laws, our legal bases for processing are: performance of our contract with you, your consent, our legitimate interests in operating and securing the Service, and compliance with legal obligations.
3. AI Processing & Automation
Wavoiq uses artificial intelligence and automation to analyze inbound messages, generate suggested or automated replies, classify and qualify leads, and personalize customer engagement. To do this, message content and relevant conversation context may be processed by our AI systems and trusted AI model providers acting as our processors.
- AI processing is performed solely to deliver the features you enable — we do not use your customers' message content to train third-party public AI models.
- You remain in control: automated replies and AI features can be paused, disabled, or overridden with human handoff at any time.
- AI-generated output is provided on a best-effort basis; you are responsible for reviewing automated communications sent under your account.
4. WhatsApp & Telegram Integrations
When you connect a channel, Wavoiq acts as a technology provider that sends and receives messages on your behalf.
- WhatsApp Business: We connect through the official WhatsApp Business Platform (Meta Cloud API). After your authorization, we send/receive messages, manage approved message templates, and read delivery and quality status for your number.
- Telegram: We connect through the official Telegram Bot API using a bot token you authorize, to send and receive messages for your bot and communities.
- Data from these channels is used only to operate your account's automations, conversations, and campaigns — never sold, rented, or used for unrelated advertising.
5. Meta API Permissions
Wavoiq integrates with the Meta WhatsApp Business Platform and requests only the permissions necessary to provide the Service, such as whatsapp_business_management and whatsapp_business_messaging. By connecting through Meta's official Embedded Signup / login flow, you explicitly grant these permissions.
- We access WhatsApp Business data only after your explicit authorization and only to operate the features you enable.
- We use, store, and transfer Meta Platform data in accordance with Meta's Platform Terms, the WhatsApp Business Terms, and Meta's Developer Policies.
- You may revoke Wavoiq's access at any time from your Meta Business settings or by disconnecting the channel in your Wavoiq dashboard; upon revocation we stop accessing that account and delete or de-identify associated tokens.
6. Cookies & Tracking Technologies
We use cookies and similar technologies to keep you signed in, remember preferences, secure the Service, and understand how it is used. These include:
- Essential cookies — required for authentication, session management, and security.
- Functional cookies — remember settings and improve your experience.
- Analytics cookies — help us measure and improve performance (see Analytics below).
You can control or disable cookies through your browser settings; disabling essential cookies may affect core functionality.
7. Analytics
We may use analytics tools, including Google Analytics, to understand aggregated usage patterns and improve the Service. These tools may collect information such as pages visited, session duration, approximate location, and device information through cookies and similar technologies. Analytics data is used in aggregate and is not used to identify individuals. You can opt out of Google Analytics using Google's opt-out browser add-on.
8. Third-Party Services
We rely on trusted third-party providers ("sub-processors") to deliver the Service, including:
- Meta Platforms (WhatsApp Business Platform) and Telegram — messaging connectivity.
- Cloud hosting and managed database providers — infrastructure and data storage.
- AI model providers — automated replies and analysis, acting as our processors.
- Payment processors — subscription and credit transactions.
- Analytics providers — usage measurement.
These providers process data only on our instructions and under contractual data-protection obligations. Your use of connected platforms is also subject to their respective privacy policies.
9. Data Storage & Security
We implement industry-standard technical and organizational measures to protect your data, including:
- Encryption of data in transit (TLS/HTTPS) and encryption at rest on managed database infrastructure.
- Access controls, authentication, and the principle of least privilege for internal systems.
- Secure storage of access tokens and secrets, which are never exposed in the user interface or to third parties.
- Webhook signature verification and continuous monitoring to detect and prevent unauthorized access.
While we work hard to protect your information, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. User Rights
Depending on your location, you may have the following rights over your personal data, including under the EU/UK GDPR:
- Access — request a copy of the personal data we hold about you.
- Rectification — correct inaccurate or incomplete data.
- Erasure — request deletion of your data ("right to be forgotten").
- Restriction & Objection — limit or object to certain processing.
- Portability — receive your data in a structured, machine-readable format.
- Withdraw Consent — where processing is based on consent, withdraw it at any time.
- Complain — lodge a complaint with your local data protection authority.
To exercise any of these rights, contact us at [email protected]. We will respond within the timeframes required by applicable law.
11. Account Deletion
You may delete your account at any time from your dashboard settings or by emailing [email protected]. Upon deletion, we disconnect all connected channels, revoke stored access tokens, and delete or de-identify your personal data and message history, except where we are required to retain certain records to comply with legal, tax, or accounting obligations, or to resolve disputes and enforce our agreements.
12. Data Retention
We retain your information only for as long as necessary to provide the Service and for the purposes described in this Policy. Account and connected-channel data is retained while your account is active. After account closure, we delete or de-identify data within a reasonable period, except where longer retention is required by law or for legitimate business purposes such as fraud prevention and financial record-keeping.
13. International Data Transfers
Wavoiq operates globally, and your information may be processed and stored in countries other than your own, including within the European Union and other regions where our infrastructure and sub-processors operate. Where we transfer personal data internationally, we rely on appropriate safeguards recognized under the GDPR — such as the European Commission's Standard Contractual Clauses (SCCs) — to ensure your data receives an adequate level of protection.
14. Children's Privacy
The Service is intended for businesses and users aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal information, please contact us and we will promptly delete it.
15. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will revise the "Last Updated" date at the top of this page and, where appropriate, notify you. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
